01Who we are and whom to contact
This notice applies to the Aseel Bus Rental website at aseelbusrental.com and its English and Arabic enquiry pages. Aseel Bus Rental is the website brand; the full legal name, physical address and licensing details of the personal-data controller must be verified and published by the site operator. Until that information is completed, privacy questions or requests may be sent to enquiry@aseelbusrental.com or +971 55 228 3835. Where an independent licensed bus operator handles a confirmed booking, its role and information duties must be addressed in the booking paperwork.
02Information you provide
Our enquiry forms may collect names, company or group name, email, telephone, WhatsApp number, preferred contact channel, booking reference, requested service, passenger and luggage counts, pickup and drop-off points, journey dates and times, flight numbers, staff shifts, routes, accessibility requirements and any message you choose to send. Please avoid sharing passports, Emirates IDs, medical details, payment-card information or data about minors unless we specifically request the minimum information needed for a lawful confirmed service.
03Website activity and CTA tracking
Our first-party system may record interactions such as WhatsApp, telephone, email and quote-button clicks, form-start and form-submit attempts, plus successful enquiry events. Associated technical/context information may include the page URL and title, interface language, clicked section, visitor/session-scoped pseudonymous IDs, device category, browser and display dimensions, landing page, referrer and UTM campaign tags. These events reflect attempted actions, not proof that a message was delivered or a call was connected.
04IP addresses, server logs and analytics limitations
The first-party engagement tracker is designed to minimise or truncate IP information in tracking records and not to copy typed enquiry fields into click-event records. Separately, our web host, firewall and server-access logs may process full IP addresses, request paths, timestamps and security data for service operation and abuse prevention. The actual logging configuration and retention must be checked with the hosting provider. A pseudonymous session identifier may still be personal data when linked to a person.
05How we collect information
We receive information directly from web forms, telephone calls, WhatsApp, emails and booking conversations; automatically from browsers and server requests; and, where lawful and necessary, from companies booking group travel, event coordinators or travel partners. If an employer sends staff data, it must have an appropriate legal basis and share only the minimum information needed for the transport arrangement.
06Why and on what basis data is used
We use information to reply to a requested enquiry; prepare accurate quotes; discuss vehicles, routes and safety needs; confirm and provide authorised transport; communicate operational changes; issue lawful invoices; handle support and complaints; prevent spam and fraud; secure systems; and maintain necessary accounting or regulatory records. Depending on the data and context, processing may rely on your valid consent, steps you request before a contract, performance of an agreement, a legal obligation, or another permitted basis under applicable UAE law. We do not presume all analytics or marketing automatically fall within a booking consent.
07Email notifications and the database
Submitted enquiries are saved in our website database with a reference code. Depending on the form, supporting records may be written to an enquiry-tracking table and an outgoing-email queue; the enquiry details are emailed to enquiry@aseelbusrental.com using authenticated Hostinger SMTP. Outgoing “sent” status means the SMTP server accepted a message, not that the recipient opened it. Access to these systems must be limited to authorised personnel.
08Cookies, sessions and browser storage
The website uses a PHP session cookie for form protection and continuity and may use the browser’s session storage to remember a visit identifier, first landing page and campaign attribution during the browser session. Necessary sessions are distinct from optional behavioural analytics. If optional analytics cookies/storage or advertising tags are introduced, an appropriate consent and preference mechanism must be assessed and implemented before activating them where required by law; browser settings may also limit storage.
09WhatsApp, telephone and external links
If you choose a WhatsApp, phone or email CTA, your device or communication provider handles the resulting contact attempt. WhatsApp and other external services apply their own privacy terms and may process account details, metadata and message contents according to their policies. We do not control those external services. Do not send payment-card secrets or identity documents through unverified chats.
10Advertising, marketing and consent choices
Sending a quote request authorises enquiry-related follow-up, not indefinite unsolicited promotional marketing. We should contact you for marketing only if an appropriate separate lawful basis and any required UAE marketing/telemarketing consent rules are satisfied, and provide an effective opt-out. You can request cessation of nonessential promotional contact at enquiry@aseelbusrental.com. We must honour applicable restrictions on marketing to consumer data.
11Who may receive information
Recipients may include designated booking/sales staff, authorised system administrators, the website and email host, security or technical service providers, a properly licensed transport partner where needed to perform a confirmed booking, and public authorities when disclosure is legally required. They should receive only what is necessary for their work. We do not sell customer enquiry details to data brokers. We do not treat a transport subcontractor as exempt from privacy duties.
12Transfers and hosting outside the UAE
Our hosting, email and support providers may process or store information in infrastructure located outside your emirate or the UAE. Their exact server locations and subprocessors must be verified in vendor settings and contractual terms; we do not claim all data stays within the UAE. International transfers will be assessed against applicable UAE personal-data transfer rules and required safeguards before use.
13Retention, deletion and records
We retain enquiry, email, tracking and booking information only for a documented operational, legal, accounting, security or dispute-resolution need. Different records require different retention periods. Our operator must implement and publish a verified schedule for unconverted leads, browser/session analytics, email queues, completed contracts and legally required tax/accounting records; the present website does not establish an automatic deletion period. When retention is no longer justified, data should be securely deleted or anonymised, subject to lawful holds.
14Security and access controls
We use or plan appropriate access restrictions, HTTPS, authenticated email transport, input checks, secure credentials, backups and operational logging proportional to risk. No internet transmission or storage system can be guaranteed completely secure. Administrators must restrict access, protect service-account JSON files and mailbox credentials from public download, rotate secrets when exposed and evaluate suspicious access promptly. Security measures should be tested rather than assumed.
15Your rights
Subject to the requirements and exceptions of applicable UAE data-protection law, you may ask what personal data we process, request access and correction, request erasure or restricted processing, withdraw consent for consent-based activities, object where provided by law, and request transfer of applicable data. You may also seek review of significant solely automated decisions where the law provides it. We will verify identity reasonably before disclosing personal data.
16How to make a privacy request
Email enquiry@aseelbusrental.com with “Privacy Request” in the subject, explain the right you seek and provide an enquiry reference if available. Do not send identity documents unless requested through a secure method and genuinely required for verification. We will review the request, explain any lawful refusal or retention requirement, and respond in accordance with applicable deadlines and procedures. You may contact an appropriate regulator if you believe your rights are not respected.
17Children and sensitive data
Our enquiry website is intended for adult organisers and authorised business representatives, not for children to submit requests independently. Do not include children’s identities, health details, ID numbers, employee medical notes or other sensitive material in general forms. For any lawful school or accessible transport request, extra data must be limited, justified, access-restricted and handled with the appropriate guardian, school or organisational authorisation.
18Automated processing and profiles
We use automated reference numbers and event statistics to organise enquiries and understand website use. The currently reviewed enquiry workflow does not independently issue credit decisions or confirm bookings through a solely automated legal decision. If material profiling or automated decisions are introduced, we will assess the legal basis, provide required notice and offer rights available under UAE law.
19Data incidents and complaints
Where we discover a personal-data incident, we must assess its severity, contain and investigate it, preserve evidence, and make notifications to authorities and affected individuals when required under applicable rules. Report suspected misuse or an incorrectly addressed notification email to enquiry@aseelbusrental.com. We cannot promise that an email marked accepted by an SMTP server has been delivered to the intended person.
20Changes to this notice
We may revise this policy to reflect actual systems, service providers or legal requirements and will show a new effective/update date. Material changes affecting consent-based activities may require fresh consent or another valid legal basis before taking effect. This notice is not a substitute for publishing the verified legal operator identity, implementing actual retention settings or checking third-party services.
